Searching for reports
The REPORTS module allows the user to access data from the EpiSurv database. Reports out of EpiSurv pull data entered by PHSs and summarise the numbers (there is no written interpretation and the raw data may not have been quality checked). There are Standard reports which are pre-built by ESR, and Custom reports which are created by PHS users.
Standard Reports Search
PHS users can search for existing standard and custom reports associated with their PHS only. Non-PHS users can search for any existing standard or custom reports in EpiSurv.
To find an existing report in the REPORTS module, the user can search for it by Report Code or Keyword using the Report Search panel on the left side of the screen under the Search Results tab. To search, click the arrow next to Report Code or Keyword or the SEARCH button (located at the bottom left hand corner of the screen). The search results will be displayed below the Filter results bar.
The user can also browse existing reports in EpiSurv using the categories in the navigation panel under the Search Results, Standard, and Custom tabs. The navigation panel options will differ depending on which reports tab is selected.
The Search Results tab displays Quick Access options in the navigation panel. To display a reports list, the user can click one of the Quick Access categories, then the Filter results bar can then be used to search for a report in the suggested results list.
Note that to mark a report as a ‘Favourite’, the user needs to search for the report, then hover and click over the star to the left of the report name.
To display a list of suggested Standard reports or Custom reports, the user must select both a Report Category and a Report Group from the navigation panel.
The Standard reports tab will suggest pre-built reports available to the user. Report Categories for Standard reports group the list of suggested reports by geography or purpose. The user can retrieve data for the whole country (All New Zealand Data), or just for their own PHS area (My PHS Data). The Other Lists and Work Management categories suggest standard reports that can assist PHS users with disease surveillance tasks and administration.
Standard reports have codes that start with a letter that reflects their ‘Report Category’:
- “P” (PHS data) and “W” (Work Management) code reports are intended for Public Health Unit use.
- “N” (All NZ Data) or “L” (Lists) code reports can be used by any EpiSurv user.
- “E” code reports are intended for ESR staff only and will not return any data for users in other offices.
Once a Report Category is selected, the Report Groups options will appear in the navigation panel to further refine the list of suggested standard reports. To display the suggested standard reports, the user must select both a Report Category and a Report Group from the navigation panel. The Filter results bar can then be used to search for a report in the suggested results list.
Custom Reports Search
The Custom reports tab will suggest ‘customised reports’ (i.e. reports that were created by users in the same EpiSurv Office or PHS). Report Categories for Custom reports are grouped by the age of the report. Custom reports created before the June 2020 EpiSurv update are in the Extracts category. Custom reports created after June 2020 will be in the New Custom Extracts category. Depending on the user’s EpiSurv office there may be additional custom reports categories (these are specific to each PHS).
